Add and manage your team

How to invite collaborators, assign roles (Admin, Member), configure granular permissions for services and pricing.

If you have multiple stylists, beauticians, PTs or collaborators, ZenBookr lets you manage them all in the same account. Each member has their own calendar, can log in with their credentials, and you can configure precise permissions.

ZenBookr Starter includes unlimited team: add as many members as you want at no extra cost (unlike Booksy/Fresha that charge per team member).

Step-by-step guide

  1. Open Team section

    From Settings Tab (⚙️ icon, last tab in bottom bar), open Team section. You'll initially see only your account as "Owner". From here you invite others.

  2. Invite new member via email

    Click "+ Invite member". Fill:

    • Member email: where they receive invite
    • Display name: how they appear in calendar and to clients
    • Role: Admin or Member (see next section)

    Member receives email with activation link. Once accepted, sets their password and logs in.

  3. Choose right role for each member

    ZenBookr has 3 total roles:

    • Owner: account owner (you). Not removable, full access to everything.
    • Admin: full access like Owner. Can create services, modify prices, see revenue, manage team. Give only to trusted partners/managers.
    • Member: limited access. Sees only own appointments, own client cards, own payments. Does NOT see total revenue or other staff (unless you enable specific permissions).

    Granular permissions configured separately in Team > [Name] > Permissions.

  4. Customize granular permissions (optional)

    For each Admin/Member you can enable/disable 5 specific permissions:

    • See all appointments (not just own)
    • Modify services
    • Modify prices
    • Process payments
    • See client data

    Best practice: first "deputy" member can have full Admin. Other stylists typically Member with 1-2 permissions active.

  5. Configure services each member can perform

    Go to Services > [name] > Assignment:

    • All members (default)
    • Specific members only (e.g. "Extensions" only Maria)

    Marketplace shows clients only operators that can perform a service. If nobody available on a day, slot isn't bookable.

  6. Set individual schedules for each member

    Each team member can have different hours from venue:

    • Go to Team > [Name] > Hours
    • Set specific weekly hours (e.g. Maria: only mornings Mon-Wed)
    • Add vacations/leaves

    Calendar combines automatically: for each slot ZenBookr verifies who's available based on individual hours + who can perform the chosen service.

Common issues

"Member doesn't receive invite email"

1) Check SPAM, 2) verify email spelling, 3) resend from Team panel.

"Want to remove a member who left"

Team > [Name] > Deactivate. Past appointments remain (GDPR + audit), but they no longer receive notifications.

"Can I see revenue per individual member?"

Yes. Dashboard > Analytics > Per Member. Only Admin can see these aggregate stats.
